AACF Seeks Part-Time Administrative Assistant

Position Overview

Arkansas Advocates for Children and Families (AACF) seeks a part-time administrative assistant in our Little Rock office. This position provides support to the Administrative and Finance Director including administrative support and data entry. It also provides administrative support to the Little Rock Development Director including entering attendee and donor information into the donor database, processing gifts, and pulling mailing lists and reports. The supervisor for this position is the Administrative and Finance Director who assigns all tasks.

Candidates should have previous experience entering and pulling reports from a database. Previous administrative assistance experience is preferred but not required. This position must support AACF’s equity statement and be committed to supporting equity in all areas of the work.

The hourly wage for this position is $17 to $19 based on experience. This position works 15 hours a week in the Little Rock office, divided into three days a week for five hours each day (9am to 2pm). The candidate and AACF will mutually agree on the three days. This position may be asked to work 20 hours a week in January and February as AACF closes out the financials from the previous year and to prepare for our largest fundraising event. Qualifications

Must have experience in data entry and database management. Proficient in Microsoft Word, Excel, and Outlook software. Candidates who have more years of experience in a similar position will be eligible for the higher hourly rate. Previous administrative assistance experience is preferred but not required.

Responsibilities

  • Accurately enter and update contact and donor information into databases, and generate reports as requested
  • Process donations in databases and generate deposit reports and acknowledgement letters
  • Process donor and attendee credit cards
  • Investigate returned or bad contact information and enter correct information into database
  • De-dupe and clean-up database monthly
  • Enter contact information of attendees from outreach events into database provided by the Community Engagement Director & Development Director
  • Assist Development Director with pulling mailing lists and reports and special projects such as annual solicitation letters
  • Assist Development Director with tasks for special events such as following up with auction item winners
  • Manage the check-in table at special events i.e. Central Arkansas Soup Sunday and the Annual Luncheon
  • Assist Community Engagement Director with Kids Count renewals (mailing invoices and renewal letters)
  • Answer multi-line phone in a professional manner and ensure phones are answered during office hours
  • Answer calls from families looking for assistance and provide names and phone numbers of organizations who may be able to help them
  • Respond to emails from AACF’s general email account
  • Welcome visitors and guests
  • Prepare for in-office meetings (e.g., set out drinks and maintain conference room)
  • Maintain clean and organized work areas within the office including front office and desk, processing room, kitchen, and conference room daily
  • Maintain office equipment (e.g., phone and copier) and call vendor when necessary for service
  • Process mail daily, both incoming and outgoing
  • Process outgoing checks after signed
  • General filing
  • Preparing and circulating cards for staff to sign and mail them (birthday, sympathy, congrats, etc.)
  • Assist staff as needed with general administrative duties (e.g., preparing for meetings, making copies, processing mailings, entering contact information into database)
  • Other duties as assigned by Administrative & Finance Director, Development Director, and Deputy Director
  • Must have transportation to run periodic errands in town

Compensation

Pay: Hourly wage is $17 to $19 based on experience.

Interview Process

From the time the position is advertised, AACF collects resumes for three to four weeks before scheduling interviews. Candidates can continue to apply after the interviews begin. AACF accepts applications until the position is filled.

If we receive a high volume of applications, potential candidates may be asked to participate in an initial screening call or Zoom meeting with the Administrative & Finance Director and the Development Director.

Stage 1: Up to four candidates will be asked to participate in an in-person interview with the Administrative and Finance Director and the Development Director.  Candidates will be asked to complete a data entry exercise, spending no more than one hour to complete. Candidates who are asked to do the exercise will receive a one-time payment of $25 to compensate them for their time.

Stage 2: Final candidate will be asked to do a final interview with the Deputy Director and complete a credit check before a final decision is made.
